PF, ESIC, professional tax and the payroll returns
The staff master the authorities need — UAN, ESIC IP, PAN, state, joining and leaving — and from a posted payroll month: the PF ECR file, the ESIC contribution file, professional tax and LWF checked against the state's own slabs, and the 24Q and Form 16 datasets.
Menu → Payroll statutory. The payroll itself is worked out elsewhere and received as a journal — that has not changed. What the authorities want is what a spreadsheet does not carry: the UAN the PF return is keyed by, the ESIC IP number, the PAN the 24Q is keyed by, the state whose professional tax applies, the dates of joining and leaving.

Do this
- Staff — every employee code the payroll has ever carried is already here; the first import creates the stub and says, in words, which have no UAN yet.
- Fill in each one: PAN, UAN (12 digits), ESIC IP (10), gender, date of joining and leaving, and the state whose professional tax and labour welfare fund apply — the hotel's own unless the person sits elsewhere. Each identifier is checked for shape as you type.
The files

From a posted payroll month:
- PF ECR — EPFO's ECR 2.0 text: the UAN, the wages, the employee's 12 per cent, the pension share capped at the statutory ceiling, the employer's balance, the non-contributing days. The wages are read from what the payroll actually deducted, not re-derived.
- ESIC — the contribution file for the employees the wage ceiling covers, with a reason recorded where somebody has zero days.
- Professional tax & LWF — the state's own slabs, versioned, so the file says what the state expects and whether the payroll deducted it: a mismatch is listed rather than silently corrected.
- 24Q & Form 16 — the quarterly return's dataset and the year's Form 16 parts, from the TDS the payroll deducted and the challans already paid.
- Accrued vs paid — what the month owed each authority against what has been paid with a challan. Anything unpaid is also sitting on the compliance calendar with its due date.
Nothing here files anything: it produces the file and the figures, and a person uploads and pays.
