Banquet finance — an event is a ledger of its own
Deposits by milestone, the fee when a client lets go, the florist's bill and the food issued tagged to the function, the salesperson's cut — and the margin each event made.
The deposit schedule
On the BEO page's Finance tab, give a function its milestones — *20% on confirmation, 50% a month before, the balance on the day* — as a percentage of the quote or an amount, each with a due date. Receiving a milestone posts a deposit on the function's folio (advances live on the guest ledger, as every advance does) and marks it. *Deposits due* lists what is due and overdue across the diary; *Advances held* shows what the hotel holds for functions not yet held.
When a client lets go
Cancel with a fee bills the cancellation (or postponement) fee to the function's folio — it has its own revenue account, *Banquet — cancellation & postponement fees* — and only then releases the hall. Nothing else of the function is billed. A damage recovery after the event is a charge with what was damaged on it.
What the function cost
- A vendor's bill (the florist, the DJ, contract staff) is tagged to the function from Payables or the Finance tab.
- Stock issued to the function from a store is a tagged issue, valued the way the stock ledger values everything.
- The salesperson's commission — a rate on the event — is accrued once on what was billed (ex tax): an expense, and a liability to staff that payroll clears.
The margin
*Event profitability* puts the revenue by kind against the tagged bills, the issued stock and the commission — per function on the Finance tab, per period in Reports.
