Making a booking
New booking, or click an empty square on the chart. What each field is for.
New booking in the header, or click an empty square on the chart to start with that room and date already filled in.
What matters on the form:
- Arrival and departure. Departure must be after arrival. A booking may start on the operating date or later; the system refuses a stay that starts in the past, because that is a stay somebody should already have checked in.
- Room type, then room. The type decides the price; the room number can be left for later and assigned at check-in. Assigning it now is what puts the bar on the chart.
- Guest. Name and phone are the minimum. Everything else — address, ID, nationality — can be captured at check-in, and must be for a foreign national.
- Rate. It comes from the rate plan for those dates, not from whoever is typing. See Where the price comes from.
- Business source. Where the booking came from: walk-in, telephone, an OTA, an agent, a company. This is the one field people skip, and it is the only reason the source reports can answer "where does our business come from".
- Bill to. Whether the guest pays, or a company or agent does. A company booking needs the company on file first.
The booking is created immediately. It is not yet a guarantee — if you want the room held against a payment instead, see Holding a room.
