Cancelling, and no-shows
Both need a reason from the list, and both leave the record standing.
Cancel booking on the booking card. It asks for a reason from your hotel's cancellation list — not free text, because "why did we lose forty bookings last month" is only answerable if the same reason was picked twice.
- A cancellation does not delete anything. The booking stays, marked cancelled, and it stays in the reports.
- If money was taken, it does not vanish with the booking. Deal with the folio: refund it, or keep it as a retention charge where the policy allows, with a reason.
- A no-show is not a cancellation. It is recorded as a no-show against the arrival date, with its own reason list, and it is what the no-show report counts. Marking a no-show as a cancellation quietly flatters the arrivals figures.
If a cancellation was a mistake, there is a recover path for a booking cancelled in error. It is not an undo — it re-creates the stay if the room is still free — so it is faster to ask before cancelling than after.
