The OTA refunded a night to the guest
A prepaid OTA guest left early and the OTA gave the unused night back. Take it off what the OTA owes — nothing goes back from the desk.
A guest booked on an OTA (Go-MMT, Agoda…) and paid the OTA. At check-in the whole stay was put on the OTA's account, so the bill reads paid. The guest leaves a night early and the hotel agrees that the OTA refunds that night to the guest.
The bill now holds more than it owes — it reads in credit. That money is not the guest's to collect at the desk: the OTA refunds the guest from its own money. What changes is what the hotel asks the OTA for.
What to do
- Open the folio. If the bill is already closed, an administrator presses Reopen the bill first.
- Go to Send money back. The first choice reads Reduce what Go-MMT owes, with the amount filled in.
- Pick a reason, add a note (*guest left early, refund approved to MMT*), and press Send money back.
- The balance reads ₹0. Press Close the bill.
The OTA's account now asks for the nights slept, and the commission the OTA keeps is worked out again on that figure. The invoice shows the nights slept, paid by the OTA.
What it will not do
It never takes off more than the bill holds in credit, or more than was put on the OTA's account. If the OTA has already paid the full stay, the reduction sits on their account as a credit and their next payment takes it.
Do not use Retain or a charge to clear this — that bills a night the OTA has refunded.
