The day book: opening, closing, expenses and the bank

One row per day of the month, cash opening to closing carried day to day, the bank receipts ticked when the bank shows them, and the till's expenses written where they happened.

Do this

  1. Pick the month. Days before the hotel's business date are closed; today is open.
  2. Cash runs opening → receipts − refunds − expenses − to bank = closing; Bank adds up what reached the bank, with a *Confirmed* tick per line.
  3. Add an expense from the till; at month end a manager presses **Carry forward. The first month is opened once with Set the opening cash**.

Cash is a balance. The month opens with the cash counted in the till (or, if nobody counts, what the books say). Each day: opening + cash receipts − refunds and paid-outs − expenses − cash sent to the bank = closing, and the closing is the next day's opening. It carries on across months.

Bank is a register of what reached the bank: card, UPI, bank transfer, cheque and wallet receipts. It starts at zero on the first, adds up through the month, and on the last day shows the month's total. Each line has a Confirmed tick — tick it when the bank shows the money. Do this daily against the bank app or statement; the page counts what is still unticked.

Expenses. Tea, an auto, a plumber, a courier — money out of the till. Add expense, pick what it was for, the amount, who was paid, the bill number if there is one. It is written into the books the same instant (the expense ledger and cash in hand) and shows on the day's page. A wrong one is voided with a reason by a manager; it stays on the page struck through. A supplier's bill with GST on it is not a till expense — it goes to Payables.

Days close with the night audit. Days before the hotel's business date are closed; today is open.

Month end. When the month is over, a manager presses Carry forward: the closing cash becomes next month's opening; the bank column starts again at zero. Any bank lines still unconfirmed are counted on the month's row, not refused.

The first month has to be opened once — Set opening cash — with what was in the till on the first. After that the carry-forward does it.
