A booking cancelled by mistake is put back

A cancelled or no-show booking is found with Find and put back with one press and a reason. Before the night audit anybody at the desk can; once the audit has closed a night of the stay, the administrator can. The nights the audit passed over go on the bill.

The desk presses cancel on the wrong card, or a guest who cancelled rings back and wants the room after all. The booking is no longer on the chart — a cancelled booking is not drawn — so the way to it is Find: type the reference, the name, the telephone number or the OTA's code, and the cancelled booking is listed with Put it back.

Do this

  1. Type the name, the reference, the phone or the OTA's code in Find.
  2. The cancelled booking is listed with Put it back; press it.
  3. What it goes back to is read off the dates and shown for you to change — *Expected*, *In house* or *Departed*. For a guest in house, say which room.
  4. Pick the reason (the hotel's status-correction list; *Other…* opens a box) and press Put it back.

A room that was sold to somebody else in the meantime is refused by name: put the booking into another room, or move the other one first.

Before and after the night audit

Until the audit closes a night of the stay, anybody at the desk can put it back. Once it has, the administrator can — the same rule as cancelling, the other way round — and the record says it was done over a closed day, by whom, from where and why.

What is not touched

A cancellation charge or a no-show retention that was posted stays on the bill and is named in the answer. If the hotel is not keeping it, void it from the folio. If the OTA was already told the booking was cancelled, the answer says so — tell them it stands.
