One party, several room types

A wedding, an offsite or a tour that needs rooms of more than one category is taken as ONE group from the central desk: a line per room type, one contact, one code, and it is cancelled or found as one.

Open the hotel from the availability cards and press Several room types. Instead of one room type and a count, the form is a table with a line per room type and rate plan: type how many of each the party needs. Every line has its own arrival and departure — a wedding where the family arrives a day before the guests is two lines, not two bookings.

Do this

1. The party — its name ("Sharma Wedding"), then the contact the booking is under, how it came in, and optionally the company it is billed to.
2. A line per room type and plan: how many rooms, each line's own arrival and departure, the occupancy. *Left* on a type is one number across its plans and falls as its lines fill.
3. Rooms nobody has claimed are released after — the cut-off. Then **Take the group** at the foot of the form.

What the group is

One name (the party's — "Sharma Wedding", "Infosys Offsite"), one contact who the booking is under, one way it came in, and optionally one company it is billed to and a cut-off date after which rooms nobody has claimed are released. On saving, the hotel makes the group and one ordinary booking per room under it — each room keeps its own guest, bill and check-in, because one of nine rooms leaving a day early should not disturb the other eight. The group's code (G1, G2 …) is on every room and on the reservations list, and the group is cancelled as one from the hotel's own screen.

What it refuses

• More rooms of a type than it has, across its plans. A room type is one stock of rooms whatever the plan: four Standard on Room Only and four Standard with Breakfast are eight Standard, and the form counts them together — the "Left" on a type falls as its lines fill.
• A line it cannot hold in full. Nine rooms against seven free is refused naming the night, not booked as seven with two roomless. A manager may override, and only as far as that room type's overbooking allowance.
• An arrival behind the hotel's own day. Every hotel keeps its own business date; the refusal names the hotel and both dates.

The price on each line is for the occupancy typed on it — a line of triples is priced as triples. The total the card shows is the sum of every room.
