Adding somebody to the team
Team & access → Add a person. Four steps: their job, who they are and which hotels, what they may do, and a check before anything is saved.
Menu → Setup → Team & access → Add a person. Only an administrator sees this screen.
You do not build a login out of permissions. You pick the person's job — front office, housekeeping, kitchen, accounts — and the login gets exactly what that job needs. You can then switch single things on or off for this one person, and you see everything they will be able to do before you save.
Step 1 · Job

- Pick the closest job. Each card says who it is for and how much it gives. *At the hotel*: Front office, Front office manager, Reservations, Revenue, Housekeeping, Kitchen & restaurant, Accounts, General manager. *Other jobs*: Sales, Maintenance, Look only. Jobs your group made itself are under *Your departments* — see Departments of your own.
- Next.
Administrator is greyed out on purpose: an administrator owns the whole account and is added by Asar support, not from this screen.
Step 2 · Person & hotels

- Full name — as it should print on everything they do.
- Email — where they can be reached. It is not what they type to sign in.
- Username — what they do type: letters and numbers, 2 to 32, no spaces.
FOM1,HK1,CHEF1. Every hotel may have its own FOM1; the hotel code tells them apart. - Temporary password — at least 8 characters. You tell it to them; they are asked to choose their own the first time they sign in.
- Hotels — tick where they work. They see those hotels and no others, and at least one must be ticked. The first one ticked is the hotel code they will type at sign-in.
- Next.
Step 3 · What they can do

- Find a permission — type a word (*refund*, *discount*, *night audit*) instead of scrolling.
- The switches. On is green. Anything you switch on that the job does not have is marked Added; anything you switch off is marked Taken away. Back to the job undoes every change.
Permissions marked Needs trust move money or override a refusal — refunds, discounts, waivers, closing the day. Think before adding one to a job that does not have it.
Most people need no changes at all. If you find yourself making the same changes for several people, that is a department: see Departments of your own.
Step 4 · Check & save

- Signs in with — the hotel code, the username and the password. This is what you tell them.
- Create login.
The page lists, area by area, everything they can do, what you changed from the job, anything that needs trust, and the areas they cannot touch at all. Read it; it is the last moment before the login exists.
After you save
Tell the person three things: the hotel code, their username, and the temporary password. There is no invitation email inside a hotel group. They sign in as described in Signing in.
To change somebody later — a new job, another hotel, one permission more — press Job & access on their row. It opens the same wizard on their login, and the change reaches them on their next click; they do not have to sign in again.
When somebody leaves, press Disable. Never reuse or rename their login for the next person: their name stays on every booking, posting and void they made, which is the point of having logins at all.
