People: every employee and their record

Find anyone who works for the group, open their record, and change it — every change is kept.

People lists everyone working here. Search by name, code, phone or designation, or narrow to a place of work, a department (or a whole part of the books, such as Rooms) and a status.

Choose a person to open their record: the job (where, which department, designation, grade, who they report to, since when), their personal details, statutory numbers and bank, documents, education, job history (every move, dated, with the reason) and timeline (everything that happened to the record, and who did it).

Change edits the record. A change to the job — place, department, designation, grade, manager, company or type of employment — takes effect on the date you give and starts a new line in the job history; the old line keeps its dates. Say why in one line: it is kept.

Bank and statutory numbers are masked. The HR office and the owner can press Show the full numbers; that opening is written into the person's timeline with their name. Only the last four digits of Aadhaar are ever kept. Aadhaar, PAN and bank-proof documents open only for the same people, and each opening is recorded.

Add a person asks where they work and checks first whether they may already be on record (same phone, same PAN, same name and Aadhaar ending, or same name and birthday). If they are someone coming back, open the old record instead; if not, confirm they are new.

A manager sees the people at their own hotels and cannot change or open bank details. An employee is never deleted: mark them Left and the record stays.
